Data Retention After App Uninstallation

After uninstalling or canceling the app, we grant you a grace period of 3 months during which you can export your data. Access exclusively through support: - Contact support@easy-invoices.de - Proof of your shop owner identity required - No self-service portal - all requests are manually reviewed - Export of all invoices as ZIP file possible Important: Be sure to use this period to export all data and save it locally!

After the 3-month grace period expires, all your data will be automatically and irrevocably deleted. What will be deleted: - All invoice PDFs - All metadata (invoice numbers, amounts, etc.) - Template configurations - SMTP settings - All other customer-related data No recovery possible: After deletion, we cannot recover your data. Please export all important data in time!

As the invoice issuer (shop owner), you must retain your invoices as accounting vouchers (Buchungsbelege). Since 1 January 2025 that period is eight years rather than ten, changed by the Fourth Bureaucracy Relief Act (§ 147 Abs. 1 Nr. 4 in conjunction with Abs. 3 AO, and for invoices § 14b Abs. 1 UStG). The period starts at the end of the calendar year in which the invoice was created (§ 147 Abs. 4 AO). Eight years is the floor, not always the end: - The period does not expire while the documents matter for taxes whose assessment period is still running – during an ongoing tax audit or appeal, for instance (§ 147 Abs. 3 AO) - Books, inventories, annual accounts and management reports still carry ten years (§ 147 Abs. 1 Nr. 1 AO); only the period for the vouchers was shortened - The shorter period applies to vouchers whose ten-year period had not yet expired on 1 January 2025 Easy Invoices keeps your documents for ten years – longer than the law requires for invoices. The duty still stays with you: - We are a software provider, not the invoice issuer - We supply the tools; the archiving is your responsibility - After cancellation we delete the data after three months – from then on retention is entirely yours Recommendation: - Export all invoices regularly (monthly/yearly) - Store the exports safely (local backups, cloud storage) - Confirm the periods that apply to your case with your tax adviser – beyond tax law, commercial and civil-law reasons can call for longer retention

To access your data after cancellation, proof is required that you are or were the shop owner. Verification process: - Contact via email from the address registered with Shopify - Provide your Shopify shop domain - If needed: Screenshot from Shopify admin or other proof - Processing time: 24-72 hours on business days Security: These measures serve to protect your data from unauthorized access.
